Corporate Rate Contracts with Production Tracking

Benvio gives every corporate rate agreement a structured record: negotiated rate, committed volume, and PMS production visible in the same view.

Renewal alerts fire before an agreement expires, and the renegotiation starts with last-period production already on screen. No manual export needed.

The demo takes 30 minutes. We ask about your property structure, PMS and current Salesforce setup, then focus on the workflows relevant to your commercial team.

HOW IT WORKS

Rate, commitment, and production on the same record

Each rate agreement in Benvio has three levels: the negotiated rate (room type, conditions, validity period), the committed volume (room nights the account committed to), and the actual production (room nights the PMS reports as delivered). All three are visible on the same record, so a rep can see at a glance whether an account is on track against its commitment.

Rate agreements cover transient business: individual bookings at the negotiated rate by travelers from that account. They are separate from group blocks, which have their own record type. Conditions and exceptions are documented on the agreement, not in a separate file or email thread.

WHAT BENVIO DOES

From negotiation to renewal, in one record

Rate agreement record

Negotiated rate, validity period, and committed volume in a single structured record. Conditions and exceptions are documented alongside the rate, so there is one place to check before a rate question arrives.

Production tracking

Actual room nights from the PMS are compared to committed volume on the same record. A shortfall developing mid-period is visible before the period closes, not after, so a rep can address it while there is still time.

Renewal alerts

Automatic notification before a rate agreement expires. The renegotiation starts with the account history and last-period production already visible, so the conversation opens with facts, not a search.

IN PRACTICE

No more end-of-period surprises

Without a committed volume on the record, production can only be checked retroactively: a report run after the period closes, when there is nothing left to do. With the commitment visible in real time, a rep can see a shortfall developing over weeks and address it during the period. The central commercial operations of five chains covering 282 properties run their rate agreements on Benvio, with PMS production mapped automatically to each account.

FAQ

Corporate rate contracts FAQ

What is a corporate rate agreement in Benvio?
A corporate rate agreement in Benvio is a structured record that holds the negotiated room rate, the conditions and period of validity, and the volume of room nights the corporate account committed to. Production against that volume flows in from the PMS automatically.
How does Benvio track committed volume?
The PMS reports delivered room nights against each account. Benvio maps that production to the matching rate agreement so a rep can see committed versus delivered without a manual export.
Does Benvio handle consortia and travel management company rates?
Yes. Rate agreements in Benvio cover corporate direct accounts, consortia (such as BCD, Amex GBT, CWT) and tour operator allotments that carry a committed volume. The record structure is the same.
What triggers a renewal alert?
Benvio fires a renewal alert a configurable number of days before the agreement expiry date. The notification includes the account, the last-period production against commitment, and a link to the agreement.
