HOW IT WORKS

A group inquiry becomes a structured block record

When a group inquiry arrives, a rep creates a group block record linked to the corporate account or organizer that sent it. The record holds the allotment (rooms blocked), the option date and cut-off date, the segment, and the current status: tentative, definite, or contracted. The contract is signed electronically, included at no extra cost.

Pickup data comes in from the PMS via the certified connector. Benvio maps the rooms consumed against the total allotment on the record, so a rep can see committed versus delivered rooms at any point during the block period, without a manual export or a call to the front desk.

The block links to the corporate account or event organizer that requested it.
How does Benvio track group pickup?
Pickup data comes from the PMS via the certified connector. Benvio maps the rooms delivered under the group block against the total allotment, so the progress is visible on the record without a manual export.
Does Benvio handle rooming lists?
Yes. Benvio holds the rooming list on the group block record. Guest names are assigned to room nights, and completeness is tracked relative to the cut-off date.
What is the difference between the option date and the cut-off date?
The option date is the deadline by which the group must confirm the booking or the hotel can release the rooms. The cut-off date is the deadline by which the rooming list must be finalized. Both are fields on the group block record in Benvio.
